Wire Fraud Safety
Sending a wire transfer.
We never email wire instructions. Follow these four steps before sending any funds — even if you have already received instructions in writing.
-
1
Call our office at a verified number.
Use a phone number you have independently verified — from this website, an old paper document, or a number you have used before. Do not use a phone number from any email, text, or document you received electronically.
-
2
Speak with the closing officer on your file.
Ask for the specific person handling your closing. Verify their name matches what is on your closing documents. Reference your file or order number when you call.
-
3
Verbally confirm every detail.
Have the closing officer read aloud:
- Receiving bank name
- Receiving bank routing number
- Account number
- Account holder name (must match the title company name)
Read these back to confirm. Cross-check against any written instructions you received.
-
4
Send the wire and confirm receipt.
After sending, call our office again to confirm the wire arrived. If the wire does not arrive within the expected timeframe, contact your bank immediately — recovery is possible only in the first 24-48 hours.
Watch for these
Red flags that signal fraud.
- An email or text with new or "updated" wire instructions.
- Urgency or pressure to send funds quickly.
- Slight changes in our email address (extra letters, transposed characters).
- A request to wire to a personal account or unfamiliar bank.
- A different phone number for "verification" than the one on this page.
- Communication that bypasses your usual contact at our office.
If you already sent a suspicious wire
Act in the first 24 hours.
- Call your bank IMMEDIATELY to request a wire recall.
- File a complaint with the FBI's Internet Crime Complaint Center at ic3.gov.
- Notify your real estate agent and lender.
Recovery options drop sharply after 48 hours — speed matters.
